About the Job
The Client Coordinator + Medical Assistant plays a dual role in directing the client experience and ensuring smooth spa operations. Responsibilities include managing front desk activities—scheduling, payments, answering phones, and client communication—while also assisting our providers with medical treatments as needed. This role is critical for maintaining the efficiency and flow of the spa while providing exceptional client care.
Key Responsibilities:
Client Relations:
Greet clients warmly and maintain a welcoming atmosphere.
Clearly communicate the spa’s services, procedures, and products.
Respond promptly to client inquiries via phone, email, and in person.
Follow up with clients after treatments to ensure satisfaction.
Appointment Scheduling:
Schedule and coordinate client appointments, optimizing the spa’s resources and maintaining an organized calendar.
Confirm appointments and provide pre-appointment instructions.
Regularly review the schedule to ensure provider time and resources are optimized.
Billing and Payments:
Process client payments and handle billing inquiries efficiently.
Maintain accurate, confidential client records, adhering to HIPAA regulations.
Client Education:
Provide clients with information on treatments, skincare products, and aftercare instructions.
Stay updated on industry trends and developments in medical aesthetics.
Problem Resolution:
- Address and resolve client concerns in a professional, timely manner.
- Collaborate with the management team to improve services based on client feedback.
Client Retention & Upselling:
- Encourage follow-up appointments, product purchases, and upsell memberships or packages.
- Support client retention by ensuring every client leaves feeling valued and satisfied.
- Perform outbound client follow ups and book phone call appointments to check in with clients.
Social Media & Marketing Support:
- Assist in creating social media content by capturing treatment moments (with permission) and promoting new services or promotions.
- Inform clients about special offers or upcoming events during their visits.
Client Feedback & Reviews:
- Actively seek client feedback to enhance the quality of services.
- Encourage clients to leave reviews on relevant platforms to improve visibility and reputation.
Admin Tasks for Aesteem Learning:
Communicate with students via phone or email about available training dates, virtual training, and model booking.
Draft custom contracts for students and ensure completion according to protocol.
Medical Assistance:
Assist providers by prepping treatment rooms, restocking supplies, preparing medical trays, and maintaining cleanliness.
Manage spa laundry, including cleaning, folding, and organizing.
Monitor and maintain inventory levels, alerting management when stock is low.
Be aware of emergency response protocols and assist during any medical concerns.
Qualifications:
- Previous experience in customer service, sales, or client relations.
- Strong interpersonal and communication skills.
- Knowledge of or interest in medical spa treatments and aesthetics. (Bonus if you’re an aesthetician or nursing student)
- Exceptional organizational skills with attention to detail.
- Proficient in appointment scheduling software and basic computer skills.
- Preferred: CPR/First Aid certification.
- Required: Ability to multitask and manage time efficiently in a fast-paced environment.
