Part-time Client Coordinator

Position: Part-time Client Coordinator
Location: Dallas, TX 75206 (Relocation required)
Language: English proficiency required; Spanish fluency preferred

About the Job: Our Client Coordinator plays a vital role in ensuring a smooth spa experience. Responsibilities include greeting clients, scheduling, payments, client communication, maintaining cleanliness, and more.

Key Responsibilities:

Client Relations:

  • Warmly greet clients, creating a welcoming atmosphere.
  • Effectively communicate spa services, procedures, and products.
  • Respond promptly to client inquiries via phone, email, and in-person.

Appointment Scheduling:

  • Coordinate and optimize client appointments, maintaining an organized calendar.
  • Confirm appointments and provide pre-appointment instructions.

Billing and Payments:

  • Process payments and manage billing inquiries.
  • Maintain accurate client records.

Client Education:

  • Provide information on spa treatments, skincare products, and aftercare.
  • Stay updated on medical spa industry trends.

Problem Resolution:

  • Address and resolve client concerns professionally and timely.
  • Collaborate with management to implement improvements based on client feedback.

Admin Tasks for Aesteem Learning:

  • Assist with student communication regarding training, virtual sessions, and model booking.
  • Draft and send custom contracts to students as needed.

Medical Assistance:

  • Assist providers with treatment-related tasks, such as cleaning and restocking supplies.

Qualifications:

  • Previous customer service, sales, or client relations experience.
  • Strong interpersonal and communication skills.
  • Knowledge or interest in medical spa treatments and aesthetics.
  • Exceptional organizational skills and attention to detail.
  • Proficient in appointment scheduling software and basic computer skills.
